Objectives (Key Responsibilities)
As an Entry-Level Project Coordinator, your day-to-day objectives will center on keeping our projects organized and on target. You will:
- Coordinate Project Activities: Support the planning, setup, and execution of marketing projects (sampling events, brand activations, experiential campaigns). This includes scheduling and facilitating project meetings, preparing agendas, and documenting meeting minutes with clear action items.
- Maintain Documentation: Keep comprehensive project documentation and records. You’ll update timelines, task trackers, and status reports, ensuring that project plans are clearly documented from kickoff through completion.
- Track Progress & Deadlines: Monitor project timelines and milestones closely. You will track deliverables, send friendly reminders to team members about upcoming deadlines, and help ensure no task falls through the cracks during a campaign.
- Stakeholder Communication: Act as a communication hub for the project. You’ll liaise with internal teams (accounts, creative, field staff) and external stakeholders (clients, vendors, venue contacts) to convey updates, clarify requirements, and gather information. Your role is to make sure everyone stays aligned and informed.
- Logistics & Event Support: Assist with logistical planning for events and activations. This might involve coordinating travel arrangements, shipping promotional materials, scheduling brand ambassador staffing, or preparing on-site kits. You should be ready to provide on-site support during events (including some weekends), ensuring everything runs to plan and stepping in to help wherever needed.
- Project Close-out: Help with closing projects on a high note. You’ll collect feedback from team members and clients, compile results (attendance numbers, social media impact, etc.), and assist in creating wrap-up reports or case studies. Learning from each project is key, and you’ll play a part in documenting lessons learned to inform future efforts.

Education and Experience
- Experience: 0–2 years of experience in project coordination, event coordination, or administrative support (entry-level applicants and recent grads are welcome!). - Knowledge: Familiarity with experiential marketing or event management is advantageous. If you’ve helped organize campus events, promotions, or any project with multiple deliverables, tell us about it. Basic understanding of project management principles or tools will help you ramp up quickly.
- Certifications: Not required, but any training or certification in project management (for example, CAPM) or event planning will make you stand out. Continuous learning is part of our culture – we value team members who seek to grow their skills.
Physical Requirements
This role combines typical office work with on-site event support. Candidates should be prepared for the following physical requirements:
- Travel & Mobility: Ability to travel within the U.S. for occasional events or client meetings. You should have the flexibility to fly or drive to event locations (all travel is planned in advance and expenses are covered). A valid driver’s license and ability to commute in the Denver area for local events are required.
- Schedule Flexibility: Willingness to work some evenings or weekends when events are scheduled. (Don’t worry – we prioritize work-life balance, but during that big product launch on a Saturday, we’ll need you on deck.)
- Activity Level: On event days, expect to be active and on your feet for extended periods. You may be standing, walking, or coordinating setup/breakdown activities for several hours at a time. Comfortable shoes are a must!
- Lifting/Carrying: Ability to lift and carry materials up to ~25-30 pounds. You might be helping move boxes of promotional items, event signage, or setting up a tent at a sampling event. We won’t ask you to do anything unreasonable, but a basic level of physical stamina is important.
